How do I customize the Ribbon in Office 365?.
When Microsoft first introduced the Ribbon in its Office suite, it caused a lot of controversy among those who use productivity software all day. Some liked it, while others liked the classic menu system, as old as the graphical interface itself.
In the end, the tape won the war and it looks like it will stay here for a long time. Luckily, even if you’re not a fan of it, you can customize the Microsoft Office Ribbon to suit your workflow and needs.
Which Versions Weâ€™re Using
We use Office 365 as part of Microsoft 365. This means that the version these instructions are based on is the latest version of Office at the time of writing. There should be little (if any) differences in how the customization of the Ribbon works, as all versions of Office are now essentially unified.
However, there is one significant exception. The Office Live version does not offer ribbon customization or any ribbon at all. Like Google’s Docs, Sheets, and Slides web apps, Office Live is a very stripped down version of the desktop apps. Therefore, the instructions and information below apply only to current versions of Microsoft Office desktop.
How Ribbons Work In General
Ribbons are for organizing software functions by their general type. Thus, functions that are commonly used in conjunction with each other share the same ribbon. In an application like Microsoft Word, you will see the ribbon for design, layout, academic transcripts, and more.
By default, Microsoft has done a great job of providing ribbons and ribbon features that will satisfy most people. If you only tackle basic spreadsheets or write an essay from time to time, there is little reason to fix what is not broken.
However, if you are performing the same highly specialized task sets every day, you can speed up your workflow by fine-tuning which Microsoft Office ribbons you have at your fingertips.
Ribbons are further subdivided into groups of related commands. For example, the Home ribbon has a Font group. Here you have all the commands related to font formatting in one place.
Thus, customizing the Microsoft Office Ribbon takes two basic forms:
- Adding and removing entire ribbons.
- Customize the groups and commands displayed on this ribbon.
We’re going to show you how easy it is to do both in Microsoft Office, starting with how to add or remove entire ribbons.
How To Add Or Remove Entire Ribbon Tabs In Microsoft Office
By default, Office does not display all the ribbons that are in every application. In fact, there are entire ribbon tabs that you might not have known about that are just a few clicks away.
To access the ribbon customization interface, all you have to do is right-click any blank portion of the ribbon and select Customize Ribbon. You will see this window:
You will see two columns here. On the left, we have commands that can be added to the ribbon tabs and groups.
This isn’t relevant right now, so let’s turn our attention to the right column in the Customize Ribbon section.
The drop-down list under this column name can be used to view all tabs, main tabs only, or tool tabs only. For now, let’s leave it on the main tabs. As you can see, there is an entry for every tab you see on the home screen of an Office application.
We’re using Word here, so the Review tab is a good example. If you uncheck the box to the left of the entry and click OK, the preview ribbon disappears from the main Word window.
Go ahead and check or uncheck the boxes whichever you want. Then click OK when you’re done and your app will only have the tabs you really need.
How To Customize Individual Ribbon Tabs
Now that you know how to remove tabs, it’s time to explore the contents of each individual tab. First, right-click any blank part of the ribbon and select Customize Ribbon.
Now let’s select a tab for customization. In this case, this tab will be home. Select the small plus to the left of Home. This will expand the list of groups on this tab.
Now select a group. In this case, we select the clipboard. Once selected, click the Delete button between the two columns. The clipboard is removed from the Home tab.
You can also add groups to tabs. First, make sure the Select Commands from dropdown is set to Main Tabs. This is optional, but it makes it easier to determine which groups and teams belong.
Let’s expand the Draw tab in the left column. Select Drawing Tools, then click Add.
Drawing tools have now been added to the main tab.
You can also add individual commands, but they will need to be added to custom groups, so let’s see how they are created next.
Adding Custom Tabs & Groups
The last basic setup we’re going to do is create custom tabs and groups. Return to the ribbon customization window.
Now select New Tab. You will see a new tab with one new group below it.
Select Rename to give the tab and group a custom name.
You can now use the instructions in the sections above to add groups to this tab. Of course, you can also add custom groups to existing tabs. You can also add individual commands to your custom groups from the left column of the listed commands.
This will create a fully customizable interface for the selected Office application.
Importing & Exporting Ribbon Customizations
It would be very bad if you spent a lot of time fine-tuning the tape only to lose those settings. Whether it’s a hard drive crash, owning multiple computers, or buying a new one, you can easily export and import your settings.
In the Customize Ribbon window, select the Import / Export drop-down list and either save the current customization or load a previously saved one.
It is so simple.
Resetting Your Customizations
It’s great that you can change almost every aspect of the Office Ribbon, but it’s just too easy to mess things up. The good news is that it is very easy to return the default settings. If you’ve cleverly saved your configuration, you can simply reload this configuration file.
If, on the other hand, you just want to get back to how it was out of the box, select the reset dropdown in the settings window. Then, either choose to reset only the selected tab or all of them.
