In 2020, Google added one of the most useful features to Google Sheets; the ability to sort or filter by color.

This is something that users have been able to do in Microsoft Excel for some time. Having it in Google Sheets means it’s even easier to transfer Excel sheets to spreadsheets.

Sort by Color in Google Sheets

If you’re wondering why you might want to sort or filter by color, consider a scenario in which you set up conditional formatting. Sorting in this manner allows you to sort alarms or rankings by category or priority rather than based on individual numbers.

Sort by Color in Google Sheets

Let’s take a look at a table listing the grades of students in different ranges. In this table, we set up conditional formatting to color-code each rating range.

If you sort by column B on a worksheet formatted this way, you can see that the grades are sorted from A to B, but you cannot see clearly which grading blocks make up each letter grade group.

The best way to do this is to sort by color.

To do this:

1. Select Data from the menu, select Filter View, then select Create New Filter View.

2. To sort the list with all A’s at the top, you can sort it by green. Click the filter icon at the top of the column, select Sort By Color, select Fill Color, and then select the color you want to sort by. In this case, choose light green.

3. The colors you selected will be grouped and sorted at the top of the list.

You may have noticed that you cannot sort by all colors, which makes sense because colors do not have a sort order.

However, if you sort the column by numbers, the colors will also be organized according to their numerical ranges. The main purpose of color sorting in Google Sheets is to quickly identify one group of items in a large list according to cell formatting (which is usually based on conditional formatting).

Another approach to grouping items by color is using the filter function. Google Sheets now lets you filter out all other colors except the one you’re interested in.

In large lists, this is very useful for grouping all the items you are interested in, while eliminating clutter from all other data.

To do this, click the filter icon at the top of the column, select Filter by Color, select Fill Color, and then select the color you want to filter by. In this case, light green.

After filtering by one color, you will see all the rows in which the filtered column is in the color of your choice. All other rows with different colors will be filtered out of the view.

This is a useful way to focus on groups of data while removing anything else that might interfere with your analysis.

Sorting or filtering by color in Google Sheets is a less granular approach than sorting by numbers alone, but sometimes visualizing data in categories or groups like this is more valuable.

Sort by Text Color in Google Sheets

In the same way, you can sort or filter the cell colors in Google Sheets, you can do the same based on the text color. This is useful for all of the reasons above, but you’ve created conditional formatting for the text color, not the cell color.

To sort by text color:

1. Select Data from the menu, select Filter View, then select Create New Filter View.

2. To sort the list with all “A” grades at the top, you can sort it by green text. Click the filter icon at the top of the column, select Sort by Color, select Text Color, and then select the color you want to sort by. In this case, dark green.

3. The colors you selected will be grouped and sorted at the top of the list.

As with fill sort, the text color you choose will group all items with that text color at the top of the list. All items in this group remain unsorted.

Again, this is a good way to focus on specific groups or categories of data. But if you really want to sort in numerical order, you will need to sort by cell content (numbers) as usual.

Filter by Text Color in Google Sheets

You can also filter out recordings of other colors, leaving only the group of the color you want. Again, this is useful for very long lists where you want to filter out all other values not in the range or category you are looking for.

To filter by text color:

1. Select Data from the menu, select Filter View, then select Create New Filter View.

2. To filter the list so that only “A” grades appear at the top, you can filter by green text. Click the filter icon at the top of the column, select Filter by Color, select Text Color, and then select the color by which you want to sort. In this case, choose dark green.

3. The colors you selected will be grouped and listed at the top without displaying other text colors.

This is especially useful for very long lists where you need to filter out “noise” (all other data) so that you can focus only on the data you need.

Sort or Filter by Color in Google Sheets

Using the sort or filter feature in Google Sheets by color allows you to group and organize your data. This is not like normal sorting or filtering, because the data is ordered not by each row, but by blocks of rows. This is a great way to categorize and organize information into blocks.

It can be used if you use it correctly whenever you have conditionally formatted data.
